Nepali Software for Nepalese Offices
Saptahik, Kanipur Publications
It is a known fact that organizations use different types of documents for official processes, be it memos, invoices, financial statements, project reports, corresondences or applications. Traditionally these documents are mostly physical paper copies filed in the office cabinets and other storage spaces.
One of the study conducted reveals that an oraganization in average spends 40% of time filing, searching and managing such paper documents which adds up to huge cost and makes the business process time consuming and tedius.
Lately, offices have started migrating towards the electronic documents like emails and have gained certain conveniences. But either way, it is difficult to manage the documents be it electronic or physical as they are not easy to locate, may lack authenticity, and finding the supporting information or supporting documents can be time consuming and difficult process.
Imagine an organization where all the official documents can be viewed in a mouse click and we do not see any employees running around with files from one cabin to another. Also, imagine such a work place where all your paper related jobs are handled by the computer itself and the computer informs you about your pending works too.
You may really find this as an imagination in a country like ours where information technology is still regarded as an upcoming field. But this imagination has turned into reality by the efforts of Engineers of Nepasoft Solutions Pvt. Ltd, leading Software Company of Nepal.
The software, which can do such an imaginative task, is named as DocBLITZ. After two years of hard work and intensive effort, the engineers of Nepasoft Solutions have been able to launch their document management solution software. By the use of this software you will be able to create a paperless work environment in your organization.
DocBLITZ is also built with comprehensive security and encryption features that enable organizations to securely store and retrieve confidential documents from the most basic to highly classified security level.
This software is currently being used by organizations like Nepal Telecom Corporation (NTC), Ministry of Science and Technology (MOST).
Till date about 2 lakhs of prepaid and postpaid mobile sim cards have been distributed by NTC. To owe one, you just need to fill up the registration form along with a copy of your citizenship card. But if you take it in the name of your company then you need some additional documents like the Company's registration number, its VAT registration number etc. Therefore, it is really hard to file and maintain all these bulk records.
NTC has automated their filing system with DocBLITZ since last year and now they are successful in tracking and maintaining more than five thousand customer's record. By doing this NTC can view all the related documents of its customers by just typing their account number or their mobile number. Since all the documents are scanned and computerized, one doesn't have to go through the old traditional way of searching the files from one drawer to the other.
Ministry of Science and Technology has already implemented this software and is taking advantage of it by managing the information of the their office easily and time effectively.
All the pending jobs as well as new jobs can be alerted to the related staff, which is one of the most important feature of this software. The decision makers of various departments can view in which department documents are pending and who is responsible person for it. This helps in taking immediate and necessary action by the upper level management as well as the decision makers. It is really helpful especially for our governmental sectors, where it takes unnecessary time for completing one small documental process.
According to one of the engineer of Nepasoft Solutions,
"By using this software an organization will be able to enhance their processing skills. Confidential and important documents can be safely kept away from natural and unnatural destruction. All these important files can be kept as backup in the servers."
He also recalls the incident occurred on 1st Sept 2004 where massive documents were burnt and destroyed from fire lightened by the annoyed protesters. He regrets of not using any kind of document management software by the respective organizations where they had to suffer both financial and mental loss. If they had anything like DocBLITZ then their documents would have been safe in an electronic format.
Lets hope in future that all the important documents of any organization will be safe and secure under the umbrella of DocBlitz.
